ELECTORAL COMMISSION OF ZAMBIA

INVITATION FOR BIDS

TENDER FOR THE PROVISION OF VARIOUS GENERAL ADMINISTRATIVE SERVICES FOR THE ELECTORAL COMMISSION OF ZAMBIA ON A TWO YEAR RUNNING CONTRACT

1. The Electoral Commission of Zambia has made budgetary provisions towards the cost of various General Administrative services and intends to apply part of the funds to cover eligible payments under the contracts for the provision of the said services.

2. The Electoral Commission of Zambia invites sealed bids for the services from experienced and reputable service providers as follows:

  • GA Lot 1: Supply and delivery of Flower arrangements;
  • GA Lot 2: Air Travel and Ticket arrangements Services;
  • GA Lot 3: Supply and delivery of Mineral water, disposable cups and Dispensers;
  • GA Lot 4: Freight Handling, Clearing and Forwarding Services;
  • GA Lot 5: Maintenance and servicing of 2No. Electric Fences and 2No. Motorised Gates;
  • GA Lot 6: Maintenance and servicing of Fire-fighting Equipment and Fire-detection Devices; and
  • GA Lot 7: Maintenance and servicing of 2No. Heavy-Duty Generator sets.

3. Bidding documents may be obtained from the Procurement Department, Electoral Commission of Zambia Head office, upon payment of a non-refundable fee of K500.00. Further information may be obtained from the Head-Procurement, Electoral Commission of Zambia, Elections House, Haile Selassie Avenue, and P.O Box 50274, LUSAKA, ZAMBIA. The telephone number is 260-1-253157/250081 and the Telefax number is 260-1-253157/257274. HOWEVER TELEGRAPHIC AND/OR ELECTRONIC OFFERS WILL NOT BE ACCEPTED.

4. Bids shall be valid for a period of 90 days after Bid closing and must be accompanied by a duly authorised bid securing declaration form duly signed by the Guarantor(s), and delivered together with the bidding documents.

5. Margins of preference during financial evaluation shall be applied as follows:

a) for a Citizen- influenced Company, by 4%
b) for a Citizen- empowered Company, by 8%,
c) for a Citizen- owned Company, by 12%

6. The bids must be deposited in the tender box on the Ground Floor, Reception, Electoral Commission of Zambia Offices, Lusaka, at or before 10.00 hours local time on Friday, 30th June, 2017.

7. The closing date for the receipt of bids is 10.00 hours local time on Friday, 30th June, 2017, and any bids received after the time and date stipulated above will not be accepted.
